Operations Suite rollout playbook: staff mobile across the portfolio

Suite Profit deploys the Operations Suite staff mobile app across hotel-group portfolios on Profitroom Suite as a single governed rollout — not one hotel at a time. This playbook is the reference we hand to the group operations office, the corporate systems team and the head of housekeeping when a portfolio of three to fifteen properties consolidates its front-of-house and housekeeping operations under one mobile programme.

Who this is for

Group operations office, group housekeeping director, corporate systems team, group HR (for corporate directory hygiene) and the Suite Profit onboarding architect assigned to the portfolio. Property-level heads of housekeeping become consumers of the SOP library, not authors of their own SOPs.

Prerequisites

  • Corporate mobile device management in place — Microsoft Intune or Jamf Pro — with a dedicated app-catalog collection for the Suite Profit Operations Suite app.
  • Corporate directory (Okta, Entra ID) with hotel staff provisioned and role attributes populated: Room Attendant, Supervisor, Public Areas, Laundry, Maintenance, Duty Manager.
  • Property inventory list agreed with the group operations office and reconciled against Profitroom Suite room types.
  • Suite Profit operator console federated with the group IdP so device users authenticate under corporate SSO.

Step 1 — Publish the app through corporate MDM

The Suite Profit Operations Suite mobile app is published as a managed app in Intune or Jamf with an app configuration policy that pre-fills the portfolio identifier, disables device screenshots on the review screens and enforces the corporate certificate pinning. Devices roll out through the standard corporate deployment ring: pilot ring first, then general availability. There is no side-loaded APK.

Step 2 — Import the role hierarchy from the corporate directory

Roles are read from the corporate directory over SCIM. The role hierarchy is:

  • Duty Manager — portfolio-wide read, own-property write.
  • Head of Housekeeping — property-wide read and write, SOP assignment.
  • Supervisor — floor-wide read and write, inspection sign-off.
  • Room Attendant, Public Areas, Laundry, Maintenance — own-task read and write.

Removing a staff member from the corporate directory revokes their app access on the next SCIM push. There is no local user store on the app.

Step 3 — Per-brand SOP configuration

Each brand in the portfolio inherits a base SOP library from the group operations office and layers brand-specific overrides on top. A luxury brand adds welcome amenity replacement, coffee capsule restock and a second bathroom inspection to the standard-double SOP; a select-service brand pares the same SOP to eighteen items. SOPs are versioned per brand; every device pulls the current version on morning launch and the previous version is retained for audit for 12 months.

Step 4 — Pilot property live cadence

Rollout follows a five-stage cadence per property, coordinated by the Suite Profit dedicated onboarding lead assigned to the portfolio:

  • Day 1 — MDM push, corporate SSO validation, one supervisor trained on the property board.
  • Day 2 — Supervisor trains the housekeeping team in a 45-minute morning stand-up.
  • Days 3-5 — Soft launch on two floors with paper retained as backup.
  • Days 6-10 — Extend to all floors, paper backup retired at end of day 10.
  • Day 14 — Post-pilot review with the group operations office before rolling to the next property.

Step 5 — Front-desk change management

Front desk sees room-clean status flow live from the housekeeping board into the Profitroom Suite room status within 20 to 30 seconds. The change management pack the Suite Profit onboarding lead delivers to the property covers early check-in scripts, maintenance-hold handovers and lost-and-found procedures. Property GMs sign off on the pack before the pilot goes live.

Step 6 — KPI alignment on the group operations dashboard

Every property in the portfolio surfaces the same six operations KPIs on the group operations dashboard: rooms-per-attendant hour, average time-to-clean, inspection first-pass rate, maintenance-ticket age, lost-and-found match rate and out-of-order-room duration. The dashboard is the Monday-morning artefact the group operations office uses to compare properties on like-for-like terms.

Estimated timeline

For a portfolio of three to fifteen properties, full rollout runs six to ten weeks: two weeks of scoping and MDM packaging with corporate systems, two to three weeks per wave of three properties, and a final two-week stabilisation window before the group operations office takes over the KPI dashboard as its Monday standard.
