Group Fiscal Automation (Poland) for Profitroom Suite

What this module governs

Group Fiscal Automation is a portfolio-scale fiscal compliance layer for hotel groups operating multiple Polish legal entities on Profitroom Suite. Reservations are read via the official Profitroom API, and the module issues faktura VAT documents per property under the correct entity, using the appropriate 8% reduced rate for accommodation and 23% rate for room service, events and F&B outlets. Per-entity JPK_VAT files are generated in the format required by Ministerstwo Finansów, and the KSeF (Krajowy System e-Faktur) connector routes each entity's outbound stream to the correct fiscal identity. A group finance office gets a single approvals inbox, a per-entity credit-note workflow that maps back to Profitroom folios, and a monthly closing checklist reviewed by our compliance advisor. Does not replace Profitroom billing — invoices are archived in the extension and posted back to each guest folio as a signed PDF through the API. Designed for hotel groups where three or more properties operate under distinct Sp. z o.o. entities.

Enterprise fit

  • One approvals inbox for the group, per-entity fiscal segregation preserved
  • JPK_VAT and KSeF handled per Sp. z o.o. entity, not per property
  • Compliance advisor included in the monthly closing checklist

SLA

Ninety-nine point nine per cent availability, credit-backed. Two-business-day response on Group envelope; same-day on Enterprise. Monthly uptime report published to the operator console.

Integration timeline

Pilot property live within fourteen calendar days of order-form counter-signature. Group rollout playbook signed at day sixty. Portfolio-wide deployment typically completes within four to six months for three to seven properties.

Multi-property considerations

Portfolio scoping

Your account manager and revenue office agree entities, brands, properties and the target rollout curve. The scoping memo goes to the corporate audit committee for information.

Pilot property

One nominated Profitroom Suite property runs the module under a documented change-management protocol. Historic data is validated with the property revenue team before publishing group decisions.

Portfolio inheritance

Group decisions authored during pilot are inherited by every property added to scope, with per-brand overrides preserved. The audit trail records who authored, who approved, and when.

Group rollout

One property per fortnight is the typical cadence. The operator console tracks each go-live milestone. Your named account manager stays engaged through the last property.
